Tend is a maintenance-inbox service for landlords, operated by NYRAI LLC ("we," "us," "Tend"). This policy explains what information we collect, why we collect it, and how we handle it. We built Tend to do one job — route maintenance problems from tenants to landlords — and we keep our data practices just as narrow.
Who this policy covers
Two kinds of people use Tend: landlords, who hold an account, and tenants, who submit maintenance reports through a landlord's share link without creating an account. This policy applies to both.
Information we collect
- Maintenance reports. When a tenant uses a landlord's share link, we collect the problem description they type, any photos they attach, and the optional details they choose to provide (name, unit/apartment, and a phone number or email so the landlord can reach them).
- Landlord account information. For landlords, we store the account email, property names, and the maintenance reports associated with each property.
- Basic technical data. We keep minimal logs (such as timestamps and error information) needed to operate the service reliably and prevent abuse.
How we use information
- To deliver each maintenance report — and its photos — to the correct landlord.
- To automatically summarize and severity-rank reports so urgent issues surface first.
- To maintain a repair history for each property and unit on the landlord's behalf.
- To keep the service secure and prevent spam or abusive submissions.
What we do not do
- We do not use tenant or landlord data for advertising, and we run no ad-tracking or third-party advertising trackers.
- We do not sell personal information.
- We do not collect rent, lease documents, or payment information from tenants — Tend is maintenance only.
How reports are shared
A maintenance report is stored on behalf of the landlord who owns the share link, and is visible to that landlord. In this sense, the landlord is the controller of the reports submitted to their properties. Tenants should only submit information they are comfortable sharing with their landlord.
Service providers
We use trusted infrastructure providers to host data and process reports (for example, cloud hosting and AI summarization services) strictly to provide the features described above. These providers process data on our instructions and are not permitted to use it for their own purposes.
Data retention and deletion
We retain maintenance reports and photos for as long as the associated landlord account is active, so the repair history stays complete. Landlords may request deletion of their account and its data, and tenants may ask us to remove a report they submitted. To request deletion, email [email protected] and we will process the request promptly.
Security
We use industry-standard measures to protect data in transit and at rest. No system is perfectly secure, but we work to limit access to report data to the landlord it belongs to and to our operational staff on a need-to-know basis.
Children
Tend is intended for adults managing or renting housing and is not directed to children under 13.
Changes to this policy
We may update this policy as the service evolves. Material changes will be reflected by the "Last updated" date above.
